Senior Manager/Supervisor
Palmpay is a Pan-African fintech company currently operating in Ghana, Nigeria,Tanzania and expanding to other markets in Uganda.We are reinventing the payments experience by making it easy and reliable for everyone to transfer money, pay bills and shop online. We are seeking for a proactive and results-driven Senior Administration Specialist to oversee and manage advanced administrative operations, ensuring efficient office management, regulatory compliance, vendor coordination, and operational support tailored to the needs of a fintech/banking environment.

Key Responsibilities
1. Office & Administrative Management
  • Oversee day-to-day administrative operations across all branches or offices.
  • Ensure proper functioning of office facilities, equipment, and supplies.
  • Maintain administrative systems, SOPs, and service standards.
2. Vendor & Contract Management
  • Manage vendor relationships, negotiate contracts, and monitor service delivery.
  • Ensure timely procurement of office supplies and services following internal policies.
  • Track and evaluate vendor performance and compliance.
3. Compliance & Documentation
  • Ensure administrative compliance with fintech/banking regulatory requirements.
  • Maintain accurate records, licenses, permits, insurance, and legal documentation.
  • Support audits by preparing and submitting required administrative documents.
4. Operations Support
  • Coordinate logistics for meetings, events, trainings, and staff movements.
  • Support management with administrative data, reports, and operational insights.
  • Collaborate with HR, Finance, IT, and Risk departments to ensure smooth workflows.
5. Asset & Inventory Management
  • Manage office assets (laptops, devices, access cards, etc.), including issuance, tracking, and returns.
  • Ensure accurate inventory control and documentation.
  • Coordinate repairs, replacements, and upgrades of equipment.
6. Staff Support & Customer Service
  • Address employee administrative needs and resolve operational issues promptly.
  • Act as a key point of contact for internal and external stakeholders.
7. Leadership & Supervision
  • Supervise junior administrative staff and ensure performance standards are met.
  • Provide mentorship, coaching, and training to the admin team.
  • Lead improvement projects to enhance administrative efficiency.

Qualifications & Experience
  • Bachelor’s degree in Business Administration, Management, Finance, or related field.
  • Minimum 4–6 years of administrative experience, preferably in a fintech, banking, telecom, or financial services industry.
  • Strong knowledge of office management, compliance, procurement processes, and vendor management.
  • Experience supporting fast-paced, high-compliance environments.

Skills & Competencies
  • Strong organizational and multitasking skills.
  • Excellent communication and coordination abilities.
  • Advanced proficiency in MS Office and administrative systems.
  • Strong analytical and report-writing skills.
  • Ability to handle confidential information with integrity.
  • Problem-solving and decision-making abilities.
  • Knowledge of industry regulations (e.g., data privacy, cybersecurity basics, operational compliance) is an added advantage.
