We are seeking a highly organized, proactive, and detail-oriented administrative officer to oversee the smooth administrative and operational activities of a regional/out-of-state office.

KEY RESPONSIBILITIES

1. Facility, Hygiene & Housekeeping

  • Conduct daily inspections to ensure cleanliness, safety, and operational readiness.
  • Supervise cleaning staff and office assistants.
  • Coordinate deep cleaning, pest control, waste management, and sanitation schedules.
  • Prepare daily and weekly facility reports for Head Office.

2. Asset & Inventory Management

  • Maintain accurate records and tagging of company assets, IT equipment, and furniture.
  • Conduct regular physical asset counts and audits.
  • Enforce asset check-in/check-out procedures.

3. Repairs & Maintenance

  • Identify and report facility faults, including electrical, plumbing, air conditioning, generator, and IT-related issues.
  • Coordinate local vendors and contractors for repairs and maintenance.
  • Monitor service delivery and ensure compliance with agreed SLAs before sign-off.

4. Procurement & Vendor Management

  • Manage office supplies, stationery, consumables, and cleaning inventory.
  • Ensure procurement activities remain within approved budgetary guidelines.
  • Process and maintain accurate vendor invoices, receipts, and purchase orders.

5. Operations & Head Office Coordination

  • Serve as the primary administrative liaison between the regional office and Head Office.
  • Maintain prompt communication and provide timely updates on assigned tasks.
  • Manage petty cash, utility payments, and operational expense documentation.
  • Coordinate local travel, logistics, and guest reception for visiting personnel and partners.

REQUIREMENTS

  • Bachelor’s degree or HND in Business Administration, Public Administration, Logistics, or a related discipline.
  • 1–2 years of experience in office administration, facilities management, or operations.
  • Experience managing a branch or regional office is an added advantage.
  • Strong problem-solving and task-prioritization skills.
  • Excellent verbal and written communication skills.
  • High attention to detail and strong organizational ability.
  • Proficiency in Microsoft Word, Excel, PowerPoint, and administrative software.
  • Ability to work independently with minimal supervision.
  • Highly proactive, responsive, and results-oriented.
